Welcome!

Thank you for volunteering for the Madrone School Golf Classic. Your support is vital in making this event a success. Please review the following instructions carefully to ensure a smooth and enjoyable day for all participants and volunteers.


1. Check-In

  • The volunteer hub is located in Boardroom, located to the left upon entering main Clubhouse doors. Please try to arrive 15–30 minutes before your scheduled shift to check in.
  • You will receive a name badge, volunteer t-shirt (supply available), and assignment.
  • Light refreshments and food during your shift(s) will be available.

2. Dress Code

  • Wear comfortable, weather-appropriate clothing. We are working to have volunteer event t-shirts for the day! 
  • Closed-toe shoes (preferably sneakers or comfortable walking shoes).
  • Bring sunscreen, a hat, and a reusable water bottle.

3. Volunteer Roles & Responsibilities

Confirmed volunteers will receive a welcome email on the Thursday before the event to confirm shift times and activities. Assigned activities may be changed on the day as needs arise. Common roles include:

  • Registration Table: Welcome guests, check in golfers, and distribute scorecards
  • Player pack sales
  • Player gift bag distribution
  • Hole Monitors: assist with contests (e.g., beat the Pro, closest to pin, hole-in-one spotter).
  • Refreshment Stations: Distribute drinks and snacks, restock supplies.
  • Cart Drivers: Transport supplies and assist guests/volunteers on course as needed.
  • Set-Up/Clean-Up Crew: Assist with signage, tables, tents, and event breakdown.
  • Dinner auction: spotters for the post golf auction.

4. Meals & Breaks

  • Meals and snacks will be available for all volunteers.
  • Breaks available as needed.
  • Stations will have RT22 walkies for communication with the Volunteer Coordinator for break requests and assistance during the event.

5. Event Conduct

  • Be courteous, friendly, and professional at all times.
  • Stay at your assigned station unless directed otherwise.
  • If any issue arises, contact the Volunteer Coordinator immediately.

6. Emergency Information

  • First Aid is located at the Volunteer Hub and Volunteer transport golf cart.
  • In case of inclement weather or emergency, follow instructions from the Event Director or Volunteer Coordinator.
